Vintage Flying Terms & Conditions (Last updated 17/10/2018)
All Vintage Flying trial flying lessons and flight experiences are sold subject to the following terms and conditions, we have also included what we like to call our “not so small print”, and covered most eventualities herein.
When you arrive for your flight you will need to produce your Voucher & Valid I.D. if required.

All Vouchers & Subsequent Trial Flights are subject to these Terms & Conditions (T&C’s). These T&C’s are published on our website (www.vintageflying.co.uk) a paper copy is available upon request for Patrons who do not have access to the Internet. All Vouchers are sold with the clear understanding that these T&C’s will apply for the purchaser & subsequent Voucher Recipient, Trial Flight Recipient if different. Please read them carefully & ensure that you & the gift recipient can abide by them. Please telephone us if you have any questions or require additional copies, if the office is unattended please leave a message and we will get back to you.
VF issue our own Gift Vouchers for Trial Flights in 1930’s Tiger Moth Aircraft. Gift Vouchers for Trial Flights are also available from Third Party Retailers (See Below). These Trial Flights are governed by strict regulations laid down by the CAA.
VF operate under the auspices of the Flying School at Derby Aero Club, Derby Airfield, Hilton Road, Egginton, Derby, DE65 6GU. For the purposes of the flight a day membership at D.A.C. is issued. Your Pilot will always be a fully qualified CAA Flying Instructor or equivalent and for the purposes of the flight he or she is Captain, their word is final, you must obey their instructions at all times. VF Crew and D.A.C. Staff are also empowered to issue you and your guests with safety instructions in accordance with Air Law & CAA Regulations, these are all designed to ensure your safety and ours. In the unlikely event of a Patron or their Guests ignoring VF Crew or D.A.C. Staff or disobeying any legislation we reserve the right to cancel the flight & you will all be required to leave, no refunds will be given. Your guests behaviour is your responsibility.
VF Vouchers are issued with full instructions on how to book a flight, where the flight will take place, what to do on the day, what to wear, what not to wear, etc. A copy of these T&C’s is issued with our own Vouchers, third party retailers include a link to our website. When booking a flight it is your responsibility to ensure you can abide by all applicable T&C’s Please read them carefully, they are designed to help you, and to help us help you. If you are in any doubts whatsoever please telephone us on 01283 585803 or email email@example.com we will do our utmost to help. If you are unable to apply with any of the T&C’s you must bring this to our attention immediately.
Vintage Flying reserve the right to cancel, postpone or re-schedule any flight without notice if the prevailing weather is deemed unsuitable for the flight or for aircraft serviceability reasons or any other operational reasons deemed necessary by the Captain or CFI (Chief Flying Instructor) or Derby Aero Club. We will always endeavour to re-book you into the next mutually convenient flying date. In some circumstances this may involve waiting until the next flying season. Under normal circumstances all vouchers are non-refundable , however you are entitled to a monetary refund if you do not fly after four booked dates (only if flights are cancelled by us). The following conditions apply to requests for a refund:
– You must have purchased the Voucher direct from us (i.e. not from any third party retailer).
-You must notify us in writing that you would like a refund, within 10 days of the date of the last flight attempt.
– You must return the voucher by Royal Mail Recorded Delivery at your cost in the state and condition in which you received it to our address at The Spinney, Uttoxeter road, Foston, Derbyshire DE65 5DL before a refund will be issued.
– Please note we are only able to make a refund to the original voucher purchaser – not the recipient.
– Administration fee of £30.00 will be charged.
Vintage Flying shall not be liable for any travel, accommodation, refreshments or any other expenses incurred from flight cancellation, postponement or rescheduling due to any operational circumstances, including unsuitable weather, aircraft serviceability, or any other reasons deemed necessary by the Captain or CFI (Chief Flying Instructor).
Vintage Flying Vouchers are valid for a period of 9 months from the date of purchase unless stated otherwise on the voucher. They are not refundable.
Unexpired VF vouchers may be extended for a period of 3 calendar months for an additional fee of £30.00. Only one extension per voucher will be allowed after which the voucher will become void and no refund will be given.
VF vouchers are valid for the named recipient only. They can be transferred by us to another recipient for a fee of £30.00, the new recipient will be subject to all the T&C’s applicable. Please contact us if to find out how to do this.
VF Vouchers may not be re-sold under any circumstances. Only vouchers purchased directly from Vintage Flying will be accepted as valid. VF Vouchers purchased from any other source will be deemed invalid.
Third Party Retailers. We do use other retailers e.g. Wowcher, Groupon, Etc, if in doubt about their validity please send us a copy & we will verify them with the Voucher Suppler. Please note that our T&C’s apply to all flights, including flights purchased from a third party retailer. In addition to this the third party retailer will have their own T&C’s and period of validity which also apply to the flight. It is your responsibility to make sure you or the voucher recipient can abide by these terms. You must allow sufficient time to book your flight before the voucher expires, bearing in mind we do get very busy at the end of a flying season. If a voucher is close to expiry and you ask us to redeem it in order to secure the voucher, NO SUBSEQUENT REFUNDS WILL BE GIVEN. If you are unable to accept this stipulation please contact the voucher provider direct and ask them to assist you.
Third Party Vouchers will normally be redeemed on the night before a flight is due to take place, after the CFI has made a decision about the prevailing weather. In the unlikely event that the weather deteriorates or your flight is postponed for any operational reason your voucher will not be refunded, we will endeavour to book you in to the next mutually convenient session.
Vouchers purchased by telephone or via the Vintage Flying website are valid for a period of 9 months from the date of purchase unless otherwise stated on the Voucher itself. Vouchers purchased in this manner may be returned by the purchaser for a full refund within 14 days of purchase, Vouchers must be returned with a written refund request before any refund can be made. Refunds will only be made via the original payment method. Please send the original voucher by Royal Mail Recorded Delivery at your cost in the state and condition in which you received it to our address at The Spinney, Uttoxeter Road, Foston, Derbyshire DE65 5DL.
Bookings will not be accepted unless you can provide us with your Voucher details. Provisional bookings will be held for 24 hours only unless agreed in writing at the time.
All flying participants must be a minimum age of 16 years old (adult supervision on airfield premises required for under 16 years). Younger participants may be flown with parental permission, our restriction is whether or not we are able to secure them in the aircraft via the harness. If in doubt, please ask.
Flying participants must check Weight and Height restrictions before purchasing voucher. This aircraft is not suitable for participants over 6 foot 4 inches tall (195 cm) and/or 18 stone (115 kilos) in weight. Should the participant exceed the restriction the flight will be cancelled and no refund given. In exceptional circumstances we may be able to assist with slightly larger/taller patrons BUT this can only happen by prior arrangement, and with written agreement. In all circumstances the Pilots decision is final.
All trial lesson participants should ensure that they are in good health and if in doubt should seek the medical advice of their GP before flying. Whilst we may be able to provide guidance, we cannot make make a medical decision, a GP should always be consulted. However, should any participant appear to be unwell or not fit to fly the Captain will refuse entry to the aircraft and no refund will be given. If you are unfit to fly please let us know a minimum of 72 hours before the flight is due to take place and we might be able to reschedule your flight.
Participants are strongly advised to refrain from taking alcohol or any drugs within 24 hours of the period prior to flight. The Captain will refuse entry to the aircraft for anyone he/she suspects may be under the influence of alcohol or drugs. No refunds will be given under any circumstances if you are refused entry.
You are welcome to bring guests along to watch your flight, however participants and their guests are expected to behave appropriately at all times and obey all Crew & D.A.C. Staff. Any conduct on the ground or in the air which may jeopardise safety will result in immediate cancellation of the flight, or cessation if the flight is in progress. This includes the behaviour of guests within the viewing area. Ball games, BBQ’s, Kites, Drones, etc are all prohibited. Please come along prepared to entertain your own children and remember this is an active airfield and subject to CAA Regulations. Aggressive or abusive behaviour will not be tolerated under any circumstances and will be dealt with accordingly. No refunds will be given.
The Captain of the aircraft can, at his/her discretion refuse entry to the aircraft for any reason, or cease the flight. The Captains decision is always final.
Trial lesson vouchers and an acceptable form of photo I.D. must be produced for inspection prior to the flight being conducted. Failure to produce either will result in your flight being cancelled without refund. You must bring along your voucher showing the voucher code. If this voucher cannot be traced or verified you will be asked to pay for your flight prior to taking it, it will then be up to you to contact the Third Party Retailer to request a refund. We will issue you with receipts & copies of any applicable paperwork, but we cannot be held responsible for tracing the voucher.
Participants wishing to re-schedule their reservation must contact Vintage Flying giving as much notice as possible. Normally we require a minimum of 7 days notice to rearrange a flight, this is to allow us time to rebook someone into your slot. If you give us less than 7 days notice, or make repeated requests to amend your booking, we reserve the right to charge an admin fee of £30 per booking. Flights cannot be changed within 72 hours of the flight time other than in exceptional circumstances. Failure to give sufficient notice of cancellation or failure to attend will result in loss of all monies. No refunds will be given. Your flight will be forfeited.
Our Office Hours are variable due to the nature of our business, please therefore be prepared to leave a message when you telephone us to make your booking. If you are planning a surprise please let us know so we can be cautious when contacting you. Bookings can also be made by email if preferred. When you telephone us to book your flight you will be allocated a briefing time and a flight time and a confirmation of reservation will be emailed out. If you do not receive a confirmation of reservation you must bring this to our attention. You must read this confirmation carefully and make sure you understand it and can abide by it. At the time of booking an emergency telephone number will also be requested in case we need to get hold of you in a hurry, you must ensure you monitor this phone prior to leaving for your flight. If in doubt, telephone us.
Our Vintage Aircraft are subject to strict weather limits, we will not operate outside these limits, this is for your safety & ensures you have the best possible experience. Decisions regarding flying are normally made about 4 pm on the day prior to your flight. On the day of the Trial flight (or prior to travelling if you have accommodation booked and are staying overnight prior to the flight) participants are strongly advised to telephone Vintage Flying on 01283 585803 or prior to departing for the airfield to confirm their booking is operating. Please listen carefully to the outgoing weather message. If it has not been set yet and you need to leave please leave us a message or better still send us an email to firstname.lastname@example.org and we will do our utmost to get back to you. Occasionally flights do need to get called off on the day of the flight, this is entirely at our discretion and for your safety.
Patrons should present themselves at least 30 minutes prior to the booked time of flight. This is to allow us time to carry out safety briefings & ensure they are adequately prepared for the flight. Should a participant fail to present themselves with sufficient time remaining to conduct the booked flight, we reserve the right to cancel it and with no refund given. If you are delayed please contact us and we will try to help.
Patrons must ensure they wear suitable clothing for climbing in and out of an aircraft. Trousers are recommended, and a flying suit/overall will be provided for you to wear over your clothing, along with a sheepskin flying jacket. We do have some extra large flying suits which should be adequate for the weight limits of the aircraft. If we can’t fit you into one of these it might sadly mean that you cannot fly with us. If you are in any doubt about your size, give us a call.
You must wear fully enclosed footwear. We do not keep or provide spare footwear for hygiene reasons The wearing of non enclosed footwear is prohibited and your flight will be cancelled for safety reasons, this includes clogs, crocs, sandals, flip flops, etc. Secure slip on footwear is acceptable but it must be properly secured, lace ups must be properly tied.
You must not attempt to carry anything into the aircraft with you, either in pockets or about your person. This is a safety issue as items may become lose and impede the operation of the aircraft or the pilot. This includes the wearing of Go-Pro cameras, etc.
Please remember that we are not running a scheduled airline and we are running Vintage Aircraft, delays can creep into the schedule and you must come prepared for this. If we run out of daylight or the weather deteriorates, or we have any other operational issue, we do reserve the right to ask you to return on another mutually convenient day. We will always do our utmost to avoid this.
A full safety briefing will be carried out on the ground prior to your flight, a further briefing will take place in the cockpit, you will be instructed in the use of the on-board intercom system, and what to do if you cannot hear or speak to your pilot during the flight. Under normal circumstances if the intercom system does fail the flight will continue as you will have been instructed in how to communicate with your pilot via the use of hand signals. The on-board intercom is an added bonus but not integral to your experience. Please do not adjust the on-board intercom under any circumstances. Please listen to all these briefings, they are designed to help you have an enjoyable, safe experience with us.
Whilst every precaution is taken for the safety of participants the operator cannot be held liable for any loss, damage or injury which does not result from their negligence.
If you should have any complaint about your flight this must be brought to our attention on the day of your flight, please speak to your Pilot or ask to speak to the Crew Chief and they will do their utmost to assist you at the time. Please note it is most unlikely that we will be able to rectify a situation once you have left the airfield.
A signed waiver will be required by all flight participants prior to undertaking the flight.
Raffle Prizes – Competition Winners, etc. In the event that the voucher is received as a raffle prize or competition win it has no monetary value and therefore cannot be refunded under any circumstances. The voucher can only be transferred to another person if the winner cannot satisfy our Terms and Conditions with particular reference to Voucher User Restrictions & Health Fitness & Accessibility Criteria. The Voucher will be deemed to become Valid on the day the raffle is drawn. These terms and conditions will be provided to the Raffle Organisers and anyone purchasing a ticket will be deemed to be accepting these terms and conditions.
Videos & Photos. We have an on-board Video system which may be used to record your flight, and photographs of your experience will usually be taken. Photos and Videos are subject to availability and optional extras. We cannot guarantee the video or photographic service will be available on all flights. If available, they will be demonstrated to you after your flight, it will then be available for purchase, and will be supplied either as a USB/SD Card or other form of removable media, this contains full instructions on how to play your video & view photographs if purchased. We DO NOT KEEP COPIES of these videos. Please check the video prior to leaving the premises, mistakes cannot be rectified later. We strongly recommend you make a back up copy of the media as soon as you get home. Please do not attempt to edit the files or run them via a different media player unless you have your own Technical Support available. We are unable to assist with this. We reserve the right to use the video & photos on our Website, Facebook Page & Twitter Feed. Patrons will not normally be identified unless we have asked their permission.
GIFT VOUCHERS AS Presents. Gift Vouchers make fantastic birthday presents, however you do not need to book a flight when you purchase the voucher, the Gift Recipient can then choose a date to suit them. If planning a surprise for the gift recipient please ensure they are likely to enjoy an open cockpit flight experience; if planning a birthday party on the date of their flight please note we cannot be held responsible if the weather does not prove suitable for the flight to take place. Our gift vouchers are beautifully presented, why not give the voucher on the day, and have a second birthday celebration on the day of the flight. You are welcome to bring a picnic & watch the take off and landing from the grassed viewing area.
We reserve the right to change these terms & conditions and any new Terms and Conditions will apply on the date of your flight. Any such changes will be available via our website.
